Voyager Cataloguing Statistics:

948 Field Overview

Statistics are kept for every title and unit catalogued in Voyager.  They are generally captured with a program run on the 948 field. Therefore, it is important to add a 948 field to every bib record once you have completed any of the following transactions with that record:

• Cataloguing new title
• Adding copies or volumes
• Recataloguing
• Reclassifying
• Relocating
• Reinstating
• Reconning
• Substituting
• Withdrawing
• Closing serial records
• Verifying and updating information in catalogued serial records

Please note that all work should be completed before a 948 field is added.

The 948 field consists of the following subfields:

The 948 can be created using the macro F10.  To use it:

• Complete any needed bib record editing — including the deletion of any 948 field that contains only record creation or sorting information (see "Multiple 948 fields:  Delete" below).

• Only one 948 -- your current 948 -- to be in record:
  • Click somewhere within the last field of your record.

  • Press F10.

  • An additional field should then be added at the end of the record, with the 948 information inserted.

• More than one 948:  If an existing 948 field containing cataloguing information needs to be retained (see "Multiple 948 fields:  Retain" below):
  • Click somewhere within the field immediately above the first existing 948.

  • Press F10.

  • An additional field should then be added just above the first existing 948, with information inserted for your new 948.

• Edit your 948 field as necessary.

Multiple 948 fields

These procedures apply both to editing records with existing 948 fields and to providing 948 fields for multiple transactions performed at the same time, such as recataloguing and adding.

• Retain:
  • Full 948 field (‡a-‡e or ‡f):  Indicates record initially catalogued in Voyager (7/21/98 or later).

  • Brief 948 field (‡a only) with level of cataloguing code followed by a colon and initials:  Indicates record for title initially catalogued in NOTIS.

  Your 948 field should always be the first 948.

  • Multiple 948 fields during same month:  All 948 fields dated for the same month must include the same subfields.  Use the fill value "?" in a subfield that lacks applicable content in a particular 948.  Existing 948(s) may need to be edited so that subfield codes match.

• Delete:  Truncated 948 field (‡a only) with only initials or colon plus initials:  Indicates on-order or in-process record converted from NOTIS.

948 ‡a:  Date

The current date will be provided automatically, in the form:  yyyymmdd.

All or part of this date may be included in online keyword searches to review records based on cataloguing date (see also "Searching in the Voyager Cataloging Module:  Searching for catalogued records.").

948 ‡b:  Initials

Should contain your 3-character initials.  If more than one person is involved, manual statistics are needed.

948 ‡c:  Type of Cataloging Codes

Used for code indicating level or category of copy or other cataloguing transaction.  Make sure that it is correct; edit if necessary.

If more than one type of transaction is involved (e.g., reclassifying and adding, recataloguing and adding), manual statistics are needed.

• Current 948 ‡c codes

  These codes, representing the level or type of cataloguing, should currently be put in the 948 ‡c subfield.  (In older records, you may also find them in the 948 ‡a subfield.)

When cataloguing new titles, the ‡d value is 1 (one).   For adds, it is 0 (zero).

The 948 ‡h subfield is used to record PCC cataloguing, when we create a PCC BIBCO record or upgrade a record in OCLC to PCC BIBCO or enhanced serial record status.  (Please note:  Between 7/1/1999 and 9/11/2001, the PCC codes appeared in the 948 ‡f notes subfield.  The BIBCO codes were implemented 7/1/1999; the CONSER enhance code was implemented in 2003.)

The following designations are used when recording cataloging statistics in the subfield ‡h of the 948 field:

Record in the 948 ‡k subfield information on accompanying material when it is housed separately from the main piece.  It should be the last 948 subfield, after ‡f, ‡g, and ‡h.  Specify:

• Type of accompanying material (physical format) -- in the singular or plural, as applicable:
  • book / books    [for any type of print accompanying material]
  • cd / cds    [for audio CDs]
  • cdrom / cdroms
  • diskette / diskettes
  • dvd / dvds    [for video format dvd]
  • dvdrom / dvdroms
  • tape / tapes    [for videotape]

  For any type of accompanying material not on this list, check with the Database Management Librarian.

• If more than one accompanying item, the number.
