Tulane University School of Medicine Room Policy
Policy for Use
The primary function and use of any Tulane University (“University”) facility shall be for purposes related to the University’s mission of education, research and/or service (“University purposes”).
Faculty, students, and staff of Tulane University may reserve any room in the School of Medicine. The Department of Academic Affairs in the School of Medicine is responsible for reviewing and confirming all room request via Event Management Services (EMS). All academic activities such as student exams, lectures, Team Base Learning (TBL), and Problem Base Learning (PBL) takes priority over any reservation. All inquiries concerning use of room will be referred to the person that completes the EMS request.

Hours of Use
SOM/Hutchinson 1430 Ave. rooms are available during normal business hours Monday through Friday 7:00 a.m. to 8:00 p.m. Weekend and after hours use are permitted with prior approval from the Office of Academic Affairs.
Murphy Building rooms are available Monday through Friday 6:00 a.m. to 9:00 p.m. Weekend use is permitted with advance approval.
1555 Poydras rooms are available Monday through Friday 7:00 a.m. to 8:00 p.m. Weekend use is permitted with prior approval.
All request for after hours and weekend use will be reviewed per request.
All room reservations are made via the virtual Event Management Services (EMS). Requestors must have a Tulane user ID and password to access virtual EMS. All request will be reviewed and confirmed by the Office of Academic Affairs. Reservations must be made at least three working days in advance in order to receive an official confirmation from the office of Academic Affairs. The Office of Academic Affairs reserve the right to reassign any request to accommodate academic activities. Room cancellation is required no less than five working days prior to the event date. Repeated failure to notify the Office of Academic Affairs may prevent future use. The Office of Academic Affairs reserves the right to withdraw a confirmed reservation should an academic need arises. The Office of Academic Affairs will make every attempt to find an alternate room.
Care and Use of room
All tables and chairs should be returned to original arrangements. Table tops should be cleaned and free of left over materials. Trash and recycled should be placed in the appropriate bins. All white boards must be clean after use. All left over food items must be removed by the requestor or meeting facilitator. Repeated violators will be charged for any services to return room to original arrangement. No smoking is allowed in room or Tulane campus. Custodial services charge may apply for any large or after hour events.
Technology (AV Equipment)
Many SOM classrooms are technology-enhanced. Please review the room description (Features) for each classroom for a complete list of built-in AV equipment. Customers can also submit requests for portable AV equipment for classrooms without technology or those rooms needing add-on items. These requests must be submitted through Virtual EMS (select Services after clicking Submit). Portable AV equipment is available at no charge for classroom teaching purposes. There is a charge for the use of this equipment for departmental special events.
Technology Services staff are available Mon-Fri from 7:30am-4:30pm. TS staff can be available for a walkthrough with the customer if given advance notice prior to a scheduled event. After hours and weekend AV support is generally not available, however, we can refer you to a recommended 3rd party AV support vendor, if requested. There is a charge for booking an onsite AV technician to work a departmental special event and at least 2-weeks advance notice is required.
Submitting a request does not guarantee service, as each request must be reviewed and approved. Technology Services will inform the SOM Office of Academic Affairs if an AV request will be approved or denied. SOM Office of Academic Affairs will send one email confirmation to requestor confirming room and AV request. All users are expected to use AV equipment with care and turn off all equipment after use.
